Two teams asking for call tracking software want opposite things. Marketing wants to know which advert produced the call. Sales wants to know what was said on it, whether it was logged, and what the rep should do next.

Both requirements are real, both are called call tracking, and the software that serves one is usually poor at the other. Most of the disappointment in this category comes from buying across that line without noticing it existed.

The list below is grouped by job rather than by feature count, with published prices where vendors publish them.

The four jobs hiding inside one phrase

Attribution. Which campaign, keyword or page produced this call. Achieved with dynamic number insertion: each visitor sees a different phone number, so the call can be traced back to a source. This is a marketing tool.

Conversation intelligence. What happened during the call: transcript, topics, objections, talk ratio, coaching. This is what conversation intelligence means in practice, and it is a sales enablement tool, and it usually assumes calls happen on connected devices or over an integrated phone system.

Activity capture. Did the call get logged against the right record, with duration and outcome, without the rep typing it. This is a CRM data entry problem, and it is the one most teams silently have.

Dialing. Making more calls happen at all, which is what a sales dialer is for: power dialers, parallel dialers, local presence. Tracking is a by-product.

A tool that is excellent at one of these is often deliberately thin on the others. Decide which one is costing you money before reading any feature list, including this one.

How to choose

You need to prove which campaign produced the call. CallRail if you are a business or an agency, Invoca if you are an enterprise with a contact centre. No sales tool on this list does dynamic number insertion.

You need to know what was said and coach on it. Gong or Salesloft at scale, JustCall or CloudTalk with the conversation intelligence add-on at small scale.

Your problem is that calls never reach the CRM. This is usually a phone system problem rather than a tracking problem. Aircall, CloudTalk or JustCall with a properly configured CRM integration fixes it at the source, and Salestrail fixes it when the calls happen on personal mobiles.

Your problem is call volume. A dialer, not a tracker. Klenty and Apollo both include one, the dedicated phone systems sell one as an add-on, and the newer AI cold calling tools go further by placing the call themselves.

Whatever you choose, the measure that matters is not how many calls were tracked. It is whether the call changed what happens next: a next step on the record, an updated stage, a follow-up that goes out. What call tracking will not fix

A list that does not answer. Dial rate is not the constraint when the numbers are wrong or the people are not buyers. That is a data problem, and more dials make it more expensive rather than less.

Managers who do not listen to calls. Every product here can produce a recording, a transcript and a scorecard. None can make somebody watch one, and coaching cadence is a management commitment rather than a feature, which fails for the same reasons CRM adoption fails.

A script nobody believes. Conversation intelligence will faithfully show you that the same objection kills every deal. Acting on that is a positioning decision, not a software one.

Check what it actually logs. Most CRMs record that a call happened when somebody tells them, which means duration, outcome and recording are only as reliable as the rep's memory at the end of the day. A phone system with a native integration writes those fields automatically, and a conversation intelligence tool adds the transcript and the analysis. If your call data is already complete without anybody typing, you do not need another product.

Is call recording legal?

It depends on where the parties are. Some jurisdictions require only one party to consent, others require every party, and rules differ again for calls that cross borders. Most vendors provide an announcement or a consent prompt for this reason, and mobile logging tools raise the question more sharply because the device is personal. Treat it as a compliance decision with your own counsel rather than a setting, and switch announcements on by default while you decide.
